Knowledge & Technology

of respondents report no agent use even in knowledge management, one of the most active functions.
Stanford HAI, AI Index 20261People do not need another place to search. They need the artifact they were going to rebuild.
Policies, deal files, and project history live in drives, tickets, and inboxes. A knowledge assistant that cites a stale PDF still leaves an expert to assemble the answer the business will use.

How I see it
Search is not knowledge work. A completed artifact is.
Enterprise knowledge projects often start with a crawl of everything. The useful object is narrower: the artifact a person produces every week. A client brief, a policy answer with the current rule, an account history, a project status packet.
Professional services, technology, and internal operations in Miami lose hours to reconstruction. The expert time should stay on judgment. The hunt should not.
A production knowledge path has a source of truth, a freshness rule, a citation the user can check, and a destination for the artifact. A chat window over a messy share drive will hallucinate with confidence.
Start with one artifact and the three systems people already open. Measure time to a usable draft and how often the answer is wrong. Do not start with an enterprise search program.
Where the cost sits
Knowledge reconstructionexperts × hours hunting and assembling one artifact × loaded cost × volume of that artifact
Use one artifact type. Do not price 'better search' as a company-wide productivity miracle.
Is this your problem?
Five signals the cost is already real.
Which artifact do experts rebuild every week from the same sources?
That is the first knowledge object. Not 'all company knowledge.'What are the three systems people already trust for that artifact?
If you cannot name them, you are not ready to index the company.Who owns the source when the answer is wrong?
Unowned sources make the assistant a rumor engine.Where should the draft land?
A memo, a ticket, a CRM note, or a brief. Chat history is not a system of record.Would a better folder and a template remove most of the hunt?
If yes, do that first. Knowledge software will not fix filing.
What done looks like
The result, not the category.
A solution is finished when a named result no longer waits on reconstruction.
Produce the brief
A packet an expert can use — sources, exceptions, and a recommended next step — not another search box.
Someone can decide from the artifact this week.
The system retrieves documents the expert still has to reread.
Someone uses it on live work
The brief enters a real case, a ticket, or a decision. Unused research is inventory.
The artifact shows up in the operating path.
A knowledge base grows and the unofficial path stays Slack.
Stop re-researching the same question
Recurring questions reuse a maintained brief. Experts add judgment, not reconstruction.
Repeat questions do not restart from zero.
Every ask is treated as novel.
What usually fails
How solution shopping wastes a quarter.
Indexing everything first
A complete corpus with no artifact definition produces plausible answers and no operating change.
No freshness or owner for the source
If the policy page is stale, the assistant will be confidently wrong.
Leaving the answer in the chat
If the brief still has to be copied into the memo, you automated a side search.
This is not the problem if
Do not start with a category purchase.
- The request is a chatbot on the intranet with no artifact owner.
- Sources are stale and nobody will maintain them.
- The work is true original analysis, not reconstruction.
- A template and a canonical page would remove most of the time.
